About the Role

The Talent Operations Coordinator plays a critical role in ensuring Thumbtack’s recruiting operations run smoothly, reliably, and at scale. This role sits at the intersection of recruiting coordination and recruiting systems administration, partnering closely with recruiters, People teams, and internal tools to keep hiring processes efficient and candidate experiences strong.

What you'll do

Recruiting Coordination

  • Manage requisition workflows to ensure job postings are created, updated, and maintained accurately across systems.
  • Coordinate interview scheduling across multiple stakeholders, including executive-level candidates, ensuring a smooth candidate and interviewer experience.
  • Facilitate the offer process by coordinating communication between recruiters, candidates, and internal partners.
  • Monitor and communicate monthly start date updates to ensure alignment across recruiting and People teams.
  • Maintain accurate hiring records and resolve hire corrections in partnership with HR operations and recruiting stakeholders.
  • Identify & lead opportunities to improve coordination processes and contribute to documentation of standard operating procedures

Recruiting Operations & System Administration

  • Serve as the primary operational owner for recruiting systems, ensuring they remain reliable, well-configured, and aligned with recruiting workflows.
    Proactively identify and resolve system issues, interface errors, and data quality problems that impact recruiting operations or candidate experience.
  • Manage system permissions and user access to ensure appropriate governance, security, and operational efficiency.
  • Establish and maintain standard operating procedures, admin guides, and technical documentation that enable consistent and scalable system usage.
  • Monitor system health and usage patterns, surfacing insights and recommending improvements to reduce operational friction.
  • Manage and triage Jira tickets related to recruiting technology, ensuring issues are documented, tracked, and resolved efficiently.
  • Maintain and evolve knowledge resources such as TackHub to ensure recruiting and People teams have access to accurate and useful system guidance.
  • Support the successful execution of key People processes by ensuring systems, documentation, and data structures are aligned with operational needs.

In order to be successful, you must bring

  • 2–5 years of experience in Recruiting Coordination, Talent Operations, or People Operations
  • Experience supporting end-to-end recruiting processes (job creation, scheduling, offers, data management)
  • Hands-on experience working in ATS and HR systems (e.g., Greenhouse, Ashby, Workday, Lever).
